NOTICE OF MOTION – CLOSURE OF A CHAPTER

Procedure for the closure of a Chapter

If there is general agreement to a closure or a substantial majority in favour, a decision should be taken as to the most suitable date for a Notice-of-Motion to be made at a Regular Meeting.

[The following should be printed on the Summons]

Notice of Motion of a Proposition to be given by [name and rank] due to  (here quote reasons ie. diminished Membership, lack of prospects etc …) this Chapter has ceased to be viable.  Accordingly, the Meeting in … (here quote month/year) … be considered as the last and that the affairs of the Chapter will be finally wound up and a that a recommendation is made to the M.E. Grand Superintendent [via the Provincial Grand Scribe E.], to return the Charter to the M.E. First Grand Principal.

At the following Meeting the Resolution must be voted on, requiring a simple majority AND not less than five Members voting in favour.

PURSUANT TO NOTICE OF MOTION
To receive a Proposition, given on (date) by (name and rank) that due to … (here quote reasons ie. diminished Membership, lack of prospects etc …) this Chapter has ceased to be viable.  Accordingly, the Meeting in … (here quote month/year) … be considered as the last and that the affairs of the Chapter will be finally wound up and a that a recommendation is made to the M.E.  Grand Superintendent [via the Provincial Grand Scribe E.], to return the Charter to the M.E. First Grand Principal."

This Notice of Motion and the subsequent Resolution should normally be put forward by the ME First Principal and seconded by the most senior, or one of the most senior,Companions.  Comparatively junior Companions should not be given this responsibility.

Immediately after the Notice of Motion has been given, and before the subsequent Resolution, the Provincial Grand Scribe E. should be notified in writing of the Chapter’s intentions. He will then inform the M.E. Grand Superintendent.

[Note: The timing of the final Meeting must be arranged carefully

a]    to avoid payments of an additional year’s Dues.
b]    to allow the Scribe E & Treasurer to complete  the formalities and
c]    to give the Members time to join alternative Chapters (bearing in mind that only one attendance at one Chapter is permitted to unattached Companions)].
