AGENDA FOR FINAL CHAPTER MEETING
The following is a suggested outline for the agenda of the final Summons to the last Meeting of a closing Chapter.
- To open the Chapter.
- To read and if approved, confirm the Minutes of the previous Regular Meeting held on ………………
- Having decided that this is the final meeting of the Chapter, approval is now required for the decisions taken at the previous meeting:-
[a] The artefacts of the Chapter be disposed of as directed by the Pricipals, Scribe E, Treasurer and a senior Past Companion, with any remaining items submitted to the Province for re-allocation as appropriate.
[b] The Masters Collar [where applicable]to be handed over to ………………..
[c] All monies remaining in the Chapter accounts to be consolidated and used to:-
[i] settle all outstanding debts and dues;
[ii] pay the joining fees of the Members into their new Chapters;
[iii] make donations to the following charities [specify the amounts and the names of the charities chosen, whether Masonic or non-Masonic]
[iv] make provision to pay for the display-case and to insure it for a number of years;
[v] make provision through the ELMC for the future care of the Chapter Widows;
[vi] pay any remaining balance to [specify selected good cause/Chapter].[d] That all Chapter records, registers, minute books and accounts books be finalised and passed to the Provincial Grand Scribe Efor safe keeping.
[e] To pass to the Provincial Grand Scribe E:
[i] a list of the Chapter Widows with the request that henceforth they be cared for under the arrangements made with the ELMC;
[ii] a list of the Members at the time of closure and showing the Chapters to which each will transfer.
[iii] lists of the names and addresses of the Charities and sums given.
[iv] Show where Joining Fees have been paid for Companions.
[v] Lists items and to whom they have been transferred.
[vi] List unallocated items required for disposal by Province. - To receive and, if approved, pass provisional Accounts as presented by the Treasurer and duly audited.
- To elect Trustees to ensure that the closure of the Chapter affairs are in accordance with the above resolutions and to close the final accounts. [The Principals, Scribe E, Treasurer, Almoner and a Senior Past Companion are recommended] who will draw up final Accounts, duly audited, after all transactions are complete.
- To collect Alms.
- To receive a brief address on the History of the Chapter delivered by Comp ……
- The MEZ to hand over the Warrant to the APGP or his representative.
- Response by the APGP.
- To finally close the Chapter.
Any of these items may be amended or further items added to suit the needs of the particular Chapter concerned. If in doubt, consult further with the APGP, Co-ordinator or the Provincial Grand Scribe E.
