6.3.1 Membership of the attending Delegation must be finalised.
6.3.2 The following exchange of information should take place:
- The Lodge Secretary informed as soon as possible of the names, rank and contact details of the Delegation.
- The; Draft Summons, Toast List, Tribute, Toasts and Responses, CV’s, List of any Grand Officers or Distinguished Guests and the Seating Arrangements, to be forwarded, as required by the APGM.
- The ProvDepGDC must be informed as soon as possible of the
- Lodge normal rehearsal details,
- name(s) and rank(s) of any Grand Officer(s) or Distinguished Guest(s),
- name and ranks of the Delegation, and
- parking arrangements and directions to the Masonic Hall.
6.4 THE PROVINCIAL DEPUTY GRAND DIRECTOR OF CEREMONIES
6.4.1 The ProvDepGDC will be responsible for the administration of the rehearsals, via contact with the District Secretary and the Lodge Secretary.
7 THE CELEBRATION
7.1 THE PROVINCIAL SECRETARIAT
7.1.1 The ‘Illuminated Certificate’ and the ‘Letter of Congratulations’ duly signed by the Right Worshipful Provincial Grand Master, together with the recipient’s Confidential Data Sheet and any other additional information brought to the attention of the Provincial Grand Secretary, will be conveyed to the APGM in adequate time for the celebration. The Principal Officer and the Lead Officer will be notified when these are completed and ready for presentation
7.1.2 All brethren on the Schedule of Personal Celebrations, who achieve the personal attainment of 50, 60 or 70 years of service to Freemasonry, will be recorded in the minutes of Provincial Grand Lodge of East Lancashire. The names of the brethren will also be published in ‘The Deacon’ newspaper, together with those who achieve 65 years of service to Freemasonry and 50 years service to the Lodge.
7.2 THE LODGE DIRECTOR OF CEREMONIES
7.2.1 Two rehearsals usually take place, one on the normal practice night and the other, 1¼ hours before the actual ceremony. Each rehearsal should take place in the lodge room to be used and will be attended by a ProvDepGDC. The Lodge DC should attend and ensure that at least the WM, SW, JW, Deacons and Inner Guard are present.
7.2.2 Any special items to take place at the meeting or at the Festive Board [cheques, raffles or other presentations etc,] should be discussed with the ProvDepGDC at the rehearsal.
7.2.3 The predetermined seating arrangements for the Delegation, Grand Officers, Distinguished Guests and the Recipient should be reserved, preferably by the use of named reserved cards. The Recipient will be invited to sit next to the Senior Deacon. A spare seat will be needed for the WM and a spare chair will also be needed for the Recipient.
7.3 THE PROVINCIAL DEPUTY GRAND DIRECTOR OF CEREMONIES
7.3.1 The ProvDepGDC will attend the rehearsals, arrange the processional order and conduct the proceedings during the presence of the APGM.
7.4 THE LODGE SECRETARY
7.4.1 The Lodge Secretary should ensure that the:
- spare Summons, Toast List and cheque/s are available, together with any gift and the Dispensation, if applicable;
- catering arrangements are in place.
